Export Backup Procedure

📤 Exporting Scheduled Issues

The Scheduler plugin allows you to export scheduled issues for backup purposes in two formats: XML and CSV.
Using these tools, you can create a complete backup of all scheduled issues in the system.

⚠️ Recommendation:
Before performing a major version upgrade (e.g., from The Scheduler 5.x to The Scheduler 6.x), it is strongly recommended to export your Scheduled Issues as an additional security measure.


Export to CSV:

  • Directly from the Scheduled Issues table view

  • From the dedicated export page

The dedicated page is located in the Global Settings section and requires Jira Administrator permissions.

Exporting to CSV – Overview

Exporting to CSV is divided into three steps:

  1. Step 1 – Basic Details
    In this step, you can manually change the file name or use the autogenerated one (2).
    Below the filename input, you can choose whether to export Scheduled Issues from all projects or only selected ones (3).
    You can also exclude inactive or invalid Scheduled Issues by toggling the respective options (4).
    To proceed to the next step, click the Next button (5).

  2. Step 2 – Field Selection
    This step allows you to define which fields should be included in the export.

  3. Step 3 – Issue Selection
    A table is displayed where you can select the Scheduled Issues to export (1).

Exporting to CSV – Step 2: Field Selection

After clicking the Next button, you are redirected to the second step (1).
This step allows you to select both Scheduled Issue fields and Issue fields to be included in the export (2).

At the top of the section, you can choose whether to include Scheduled Issue triggers by checking the appropriate box (3).
Below the checkbox, you can either quickly select all Scheduled Issue fields or manually choose specific ones (4).

Some fields are required and cannot be deselected. Even if you uncheck Export all Scheduled Issue fields or Export all Issue fields, these mandatory fields will remain selected (5).

Scrolling down reveals the Issue fields section.
Clicking the Next button transitions to the final step, where the Scheduled Issues table is displayed (6).

Exporting to CSV – Step 3: Issue Selection

The final step displays the Scheduled Issues table, where you can select the issues you wish to export (1).
You can filter data by individual columns (2), use the name filter, or adjust the number of displayed rows (3).
Below the table, you can navigate between pages using pagination controls (4).
To complete the export, click the Export button (5).


Exporting from the Scheduled Issues Table View

You can also export Scheduled Issues to CSV directly from the table view:

  • Manage Scheduled Issues table – available only to users with Jira Administrator permissions

  • Project Scheduled Issues table – available to users with Project Administrator permissions

On both pages, the export dialog can be opened by clicking the Export to CSV button (1).

Exporting from the Scheduled Issues Table View – Project Scope

There is a slight difference between the two export views:

  • In the global Manage Scheduled Issues view, the administrator can select from which project the Scheduled Issues will be exported (1).

  • In the single project table, Scheduled Issues will be exported only from that specific project (2).

Export to XML:

To perform an XML export, log in as a Jira Administrator and follow these steps:

  1. Click the cog icon in the top-right corner (1)

  2. Select Add-ons from the menu (2)

  3. Navigate to Export Scheduled Issues (3)

Export to XML – Configuration

The Scheduler will generate an .xml file for you to download, with the file name (4) set automatically or modified by the exporting user.

You can export (5) Scheduled Issues from all projects (this is the default setting), or limit the export to selected projects only.

When you click on any of the listed projects, the Export type automatically switches to Export Scheduled Issues from selected projects only.

Additionally, you can choose to skip exporting:

  • Inactive Scheduled Issues (6)

  • Invalid Scheduled Issues (7)

To complete the export, click the Export button at the bottom of the page (8).
