Version 2.2.x new features - general overview [2.2.x]
The below presented features are present since 2.2.x version of the add-on.
Taking into consideration some of the feedback, the newest 2.2.x version aims to support and ease stress in challenging and dynamic business environments. Now user's line manager gets a possibility and means to preview user's workweek scheme and calendar to avoid actions that can stir up problems.
After opening any of queued requests, whilst being logged-in, as any user with Vacation Manager access granted, since 2.2.x version of the add-on you can spot additional elements marked with (A) and (B) and named as "sections" here to provide additional information:
The above-presented image, shows a vacation request as seen by an HR member group (because of full edition possibility of such request and explanation of all possible to see elements within).
New feature provides data divided into two segments as presented above, aiming as the most important to include an information about:
a calendar that is used within a particular request;
whether requesting employee works during weekends, or public/bank holidays;
This enables user's line manager to quickly check (on the same page) whether requested days are properly calculated.
The above-presented example shows a situation where user has booked 3 calendar days, lasting between 30th of April till th 2nd of May 2019 (6) (in section B named as "all days") of holidays, but in fact only 2 can be taken into account ("used vacation days" - as presented in section A) and treated as proper day off work (1st of May is a bank holiday), if accepted by his manager. An example provided below, shows how the same request looks from user's line manager perspective:
New HR elements introduced since v2.2.x:
Section A content:
"Labels" (1) - Its content can be added/removed only by requesting user and HR team members. User's LM is unable to edit it. When content is editable, you can spot blue pencil icon ✐. Upon accessing it you should see a similar view as presented below:
It's possible to use existing labels, or type here a new name and new label will be placed.
Label name cannot be pasted into a box with spaces between words - it is not accepted. If compound name is needed use an alternative (i.e.wildcard or hyphen) sign.
If you tick "Send Notification" an email is to be send to all involved parties (which are in the presented case: leave requesting user and his line manager, by a person from HR who has added new label). As presented below, such delivered email contains information about ticket update and adding a label to a leave request (marked green):
Prior SMTP server configuration in Jira is needed to make it work properly. Check here.
When label gets created and is present within the request, upon clicking on it, new Jira search is to launch and display all issues labeled like that (i.e. "April_and_May" - to quickly find leaves that are in April in May, given that label had been used to tag leaves with such dates prior to this):
"Period Type" and "Used vacation days" are a non-editable informative only fields and refer to selected leave type and factual number of requested off-work days from its assigned total quota (excluding weekends and other bank holidays).
"Teams" (2) - in terms of its creation and behavior, this field is an equivalent of "Labels" and in fact it uses labeling method. Likewise "Labels", can be edited by requesting user and HR Team members only. What differentiates it from "Labels is that when leave request is created, this field automatically gets filled with a name the same as leave requesting user's team (i.e. like in the above presented example - "Team_1").
Section B content:
All elements within this section are also of particular importance from a supervisor's point of view (i.e. long-term planning of leaves within particular calendar year) and because of that, dedicated page of documentation has been created to address all possible questions related to it. Check here to get more information about:
Holiday Scheme (3);
Workweek Scheme (4);
Show in team calendar (5).
